Both parents and students should realize that performances and extra rehearsals are a required part of the course work. This includes in-school field trips and after school activities. Unlike regular class work and written examinations, there is no way to make up a missed performance. Students depend upon their classmates to perform with them, and the audience exists at only one point in time.

Excused Absence:

The following reasons for absences may be:

  1. Health problems severe enough to keep the student at home, or the request from a doctor that the student not participate for a valid medical reason.
  2. Death in the family
  3. Religious observance
  4. Extreme emergencies/circumstances – accepted at the discretion of the director

The student performer must submit written explanation of the absence, signed by a parent/’guardian and director at least 1 week prior to the performance in order to receive “Excused” absence from a performance. In extenuating circumstances, the written explanation may be submitted at the earliest opportunity.

Grade Make-up for Excused Absence
An excused absence means that the student will have the opportunity to make up 100% of the grade (100 points). To receive full credit for an excused performance absence, the student must submit a 12 font – Times New Roman, 3 page, type written, double-spaced paper on a subject of the director’s’ choice.

Unexcused Absence:

Any absence not covered under Excused Absence (or situations deemed by the Directors) will be considered an unexcused absence. All letters of notification must be submitted at least one week before the designated rehearsal or performance to be considered. A student may only earn 1/2 of the points possible – 50/100

Grade Make-up for Excused Absence
Unlike regular class work and written exams, there is no way to make up a missed performance. Students depend on their classmates to perform with them, and the audience exists only once. To earn 50/100 points for an unexcused absence, the student must submit a 12 font – Times New Roman, 7 page, type written, double spaced paper on a subject of the Director’s choice. The paper is due one week after the absence, or one week upon the student’s return. Failure to comply by these guidelines will result in a failing evaluation for that particular activity (0 points out of 100 possible)

Other Situations:

A student may not participate in music performances/activities unless the student attends the last four periods of that school day. Students absent all day, due to illness may NOT attend a music performance/activity that day or evening. If extenuating school or family circumstances result in a student’s failed to be present the required four periods, an exception can be made. Reasons may include: HSE approved college visit, HSE field trips, religious observance, medical emergency, or funeral. These exceptions must be approved by the HSE choral directors.

The directors reserve the right to make penalty modifications on an individual basis if extenuating circumstances exist, excessive absences from music performances/activities may result in the student being removed from the musical ensemble.
